Enter the requested information in each field in the screen shot below that has a red dot by it. The fields are:a. Participanti. Room ID5. For this example, the new conference is based on a class (ECON 100) taught through ITV in Colville, Inchelium, Ione, Newport, and Republic.
Appendix· This should be populated automatically with your username. If not, Click Participant, hit the Filter icon (blue triangle, far right) and enter first and last name, hit search and hit the radio button next to the name to add the name to the Participant section, close the window. Each scheduled conference needs at least one owner. No other participants need to be added to finish scheduling the conference.· This needs to be filled in following the established naming conventions.o <Discipline code> <Course number> <Instructor> 60<class#>o For Example: the course Econ 100 taught by Rick Hanson which has a class (or item) number of 4044 will have a Conference Name of:
- ECON 100 R.Hanson 604044· This needs to be changed to 'Spokane MCU Pool'. Subsequent visits to the scheduler this should set for you as the scheduler seems to remember the preferred Pool for each scheduler after their first scheduled conference.· RPRM scheduling will generally be used for ongoing, repetitive events (credit classes, non-credit classes, weeklong trainings, etc) so most users will choose RECURRENCE and make the appropriate choices. It's self-explanatory with options for weekly, certain days of the week, start and end times. Generally the conference will be scheduled from quarter start to quarter end (sometimes stopping short if finals are not done over ITV). Short breaks and holidays can be scheduled through (aka, go ahead and schedule even if the 4th Monday of a quarter is a holiday - no need to set schedules up to and then start again after that one day).
ROLE SETTINGS· This section can be ignored. Here you can specify access to for one participant act as Chair and control aspects of the conference. This is generally not a feature CCS uses.o is the number the users will dial. This number should be the class Item number from ctcLink. ECON - Smith 4567 would have a Room ID of 4567. (The system will automatically add a preceding 60 to the number - which is our internal prefix, so the final number will be 604567). Alternatively, Room ID might be referenced as VMR (Video Meeting Room) or Conference ID - depending on the Polycom or Lync products being used.
Conference Passcodeo Users can be prompted to enter a passcode when entering the meeting. Historically CCS has not restricted conferences this way and the current plan is to NOT restrict any conferences this way. The only time this *may* be needed is for a highly sensitive event (HR issues, etc).
o Choose the appropriate conference template. These are the settings the bridge will use for the call. This includes layout, call speeds and quality, whether the call is recorded by Polycom Media Suite, etc. The names will be descriptive enough. For the most part, all classes and meetings will fall under the 'Classes' templates - with options for the class to be recorded or not recorded. Likely names are:· Class Conference - No Recording· Class Conference - With Recording
